Job Title: Diary Secretary & Administrator Part time (2.5 days)

Salary: £20k pro rata

Job Details

Alex is seeking an enthusiastic and constituency diary secretary and administrator for his busy constituency office

Main duties:
• Responding to enquiries by telephone and email, passing on queries to other team members/MP as appropriate
• Assist with the return of financial records in line with IPSA and House of Commons procedures
• Provide administrative support to the casework team
• Opening, logging and dispatching correspondence
• Booking surgery appointments
• Manage the MP’s constituency diary, assisting with arrangements for meetings and events
• Efficient data and file management, to comply with the Data Protection Act, including maintaining a comprehensive filing system and extracting documents on request

Essential Skills and Experience required:
• NVQ Qualification level 3 or equivalent in Office Administration, Customer Service or significant experience working in an administrative/reception role
• Strong interpersonal and written communication skills
• Strong ICT skills, including proficiency in the use of Office work packages
• Excellent organisational skills with a strong understanding of database management principles
• The ability to prioritise effectively
• The ability to work autonomously and as part of a small team
• An appreciation of the importance of attention to detail, discretion and confidentiality

• Experience of expenses systems and claims
• Clean driving licence and access to a vehicle
• Previous experience of working with community organisations and campaign experience
